We use necessary cookies to make our website work. We'd also like to use optional cookies to understand how you use it, and to help us improve it.

For more information, please read our cookie policy.

We have an online portal for customers to access many of our services. The portal can be accessed at: https://portal.caa.co.uk.

The portal can be used for:

  • Aircraft maintenance e-exams
  • Applying for a new ATOL licence
  • AvSec Instructor Certification
  • Electronic Conspicuity device rebates
  • Flight crew e-exams and e-licensing
  • Medical records system (Cellma)
  • Private pilot theoretical knowledge e-exams
  • ACOMS (RPAS + Cranes & Obstacles only)

You will need to register for an account in advance of using it. You can access a guide on how to register and use the portal in CAP1902. Applicants for the medical service who wish to gain access to Cellma can also refer to this shorter one page guide. Applicants for ACOMS can refer to the ACOMS registration guide.

To register you will need:

Formal photographic identification (one of the below)

  • Passport
  • UK Driving licence
  • National Identity Card (Including Citizen Card, or other Government recognised ID)

Proof of address or existing CAA documentation (one of the below)

  • Driving licence
  • Identity Card
  • Utility Bill
  • Council Tax Bill
  • Council Rent Book
  • Mortgage Statement
  • Current Firearm or Shotgun Certificate
  • Existing CAA documentation (e.g. medical certificate)

Note that the same document cannot be used for both i.e. driving licence can only be used for photo identification or proof of address. An additional item of documentation would also be required.

Issues activating your portal account

Once you have created a username and password for your portal account, you will receive an email with an activation link. Click on the link to activate your account.

If you get an error message when you then try to log into your portal account after having followed the activation link, your account has not been activated.

This is likely because Office 365 offers a security facility known as “Advanced Threat Protection”. This wraps any link contained in an automated email with a client instigated protection prefix. Effectively this removes the user specific (encrypted unique data) and this is why the activation fails.

There are three options to deal with this:

  • Option 1 - Activate your account using your mobile. Advanced Threat Protection is not used on mobile applications, so clicking on the activation link in the email on your mobile will fix this issue.
  • Option 2 - Turn off Advanced Threat Protection on your PC
  • Option 3 - Add caa.co.uk to the safe links on your PC

Option 1 or 3 is the preferred option as it does not disable the O365 security, just whitelists the caa.co.uk URLs as safe.

  • If you do not know your CAA reference number, this field can be left blank and will be filled in by the CAA when we process your application.
  • Your ID documents must be valid (not expired).
  • You can only upload JPEG and PDF documents. Other file types (such as TIFF or PNG) will stop you from completing this page.

Transcript for How to register with the CAA customer portal and access the Cellma medical system

This video will show you how to sign up for a CAA Portal account and gain access to Cellma, the CAA’s online medical system.

Access to Cellma is required in order to apply for a medical certificate or to make a self-declaration.

To get started, go to the CAA Portal using the URL shown on screen. From the portal, click the Create button.

Enter a unique username and password, and make sure to note these down.

Next, enter the email address you’d like associated with your account. This is the email the CAA will use to communicate with you regarding any applications made via the portal.

Then, click the Create Account button.

You’ll now receive an email prompting you to activate your account. Click the activation link, or copy and paste the URL into your browser.

You will see a message confirming that your account has been successfully activated.

Now, log into your account using the username and password you created.

If you cannot log in, the activation process may not have worked. Try again using a mobile device, or visit the CAA Customer Portal webpage for more information.

Once logged in, click on Your Services on the left-hand side, then select the Medical link from the list of services.

Please note that the Medical as a Medical Professional service should only be used by healthcare professionals.

Next, read and agree to the disclaimer, which explains how we store and use your personal data.

You’ll now need to complete the registration page. If this is your first medical certificate application, or if you do not know your CAA reference number, you can leave that box blank. CAA staff will complete it for you.

As part of registration, you will need to upload both an identity document and a proof of address document, such as a utility bill.

However, if you already hold a licence or medical certificate with the UK CAA and your address is already up to date in our system, you can upload a copy of this from the CAA document section instead of a separate proof of address.

Please note that only JPEG or PDF files are accepted. Uploading any other file type will cause the registration to fail.

Once everything is complete, click the Submit Details for Verification button at the bottom.

Your registration will now be reviewed by the CAA. This is a manual process and can take up to 10 working days.

During this time, the Medical service link will be greyed out.

Once your access has been approved, you will receive two emails:

  • One confirming your ID has been verified

  • Another confirming that access to the medical service has been granted

Once you’ve received these emails, you can log in to your portal account and begin using Cellma, the medical system.

When you attend a medical appointment with your AME or GP, you’ll need to know your CAA reference number. You can find this by clicking on the Personal Details section on the left-hand side of your portal account. It will appear in the top box — make a note of it. You can also update your contact details here.

To access Cellma, click on Your Services and then the Medical link, which will have moved to your list of available services.

You will need to set up a telephone number for two-factor authentication. This is the number that the system will send a login code to.

Once you’ve received and entered the code, you’ll be logged into Cellma.

From here, you can apply for a medical certificate or submit a self-declaration.

Click on the Answer button to begin your application.

Please note that you must submit your application prior to attending your medical appointment.
