How long will it take for my application to be processed?

Applications need to be submitted at least two months before expiry. This timeframe allows for effective workflow planning of applications, ensuring approvals can be reviewed prior to expiry. Where applications are not received 2 months prior to the expiry date of an approval this may result in an existing approval not being reviewed prior to the expiry of the current approval.

In normal circumstances the Civil Aviation Authority (CAA) does not authorise extensions to current approvals, it is the operator’s responsibility to ensure that applications are made in the advised time frame.

The CAA allows for 10 working hours of time to review and feedback on applications. In most circumstances only materials associated with approved training courses (Dangerous Goods by Air, Lithium Batteries by Air, Radioactive goods by Air) will be reviewed. For applications which may exceed that timeframe (due to errors, inaccuracies, or missing materials), these may be subject to additional fees as outlined in the CAA Scheme of Charges.

Upon receipt of all required documents (and any addressed feedback), and where the training materials and exams meet with the requirements of the test and training specification and the International Air Transport Association (IATA) Dangerous Goods Regulations (IATA DGRs), the CAA will aim to issue your approval within 10 working days.

If you have any questions or queries, please contact us at dgo@caa.co.uk.

What happens next?

Upon receipt of the application, it will be assigned to an Inspecting Officer, who will conduct an initial document audit. The Inspecting Officer may contact you for additional information if necessary.

If training materials and exams exhibit numerous or repetitive errors or fail to comply with the International Air Transport Association (IATA) Dangerous Goods Regulations (DGRs) for the intended approval period (updated DGRs typically issued in December), or if renewal applications lack completion and return of the self-assessment checklist, this may lead to return of materials and suspension of approval review.

Once all required documents and training materials are received, the Inspecting Officer will perform a sample check and provide a feedback report highlighting any necessary amendments. After resolving any identified issues, the Inspector will recommend approval issuance, with notification sent via email.

For detailed guidance, please consult the instructions within the application form, self-assessment checklist, and relevant test and training specification documents.

If you have any questions or queries, please contact us at dgo@caa.co.uk.
